We are growing and looking to add to our fast-paced studio. Currently, we are interested in meeting with Landscape Designers and/or Landscape Architects with 0-3 years' experience. We are looking for a proactive, hard-working individual with excellent graphic and technical skills to join our team.

At Hapa, you will be able to contribute to all aspects of project documentation and graphic communication including construction document packages, project renderings, 3-D models and the assembly of open house materials and accompanying reports. This position is for either our Victoria office or Vancouver office, candidates should express their interest in location upon submittal of their qualifications.

Landscape Designers and/or Landscape Architects 3-5 years' experience

We are growing and looking to add to our fast-paced studio. Currently, we are interested in meeting with Landscape Designers and/or Landscape Architects 3-5 years' experience for our Vancouver studio.

This position requires a collaborative, organized individual with initiative, capable of working independently, and offers experience working on a wide variety of project types and scales. We are looking for a team member able to manage individual projects, contribute to project documentation and graphic communication including project renderings and the assembly of reports, narratives, and presentations. Project experience in sustainable design and landscapes over structures is preferred.

About you

You want to learn and be able to contribute to a wide array of project types and scales and be part of the growth of a strong and creative team. You want to be involved with a project from start to finish; attend design charettes, sketch with your colleagues, build models, put together a CD package and complete a substantial completion site visit.

Duties include but are not limited to:

• Project management, including coordination with sub-consultants;
• Staff mentorship;
• Production of conceptual designs, detailed design, contract documents, and construction administration;
• Coordinating and participating in client meetings, public consultations and presentations
• Construction administration, including site visits and coordination meetings.

Qualifications:

• Bachelor or Master’s degree in Landscape Architecture or from an accredited program;
• Three or more years of experience in landscape architecture or related discipline;
• Although not required, licensed in the Province of British Columbia or having the ability to apply for reciprocity will be considered a benefit;
• Experience at a landscape architecture design office or allied profession is an asset;
• Proficiency using AutoCAD and/or Revit to prepare drawings for permit and construction sets under the guidance of a project manager (familiarity with Revit as plus);
• Experience with background review work including site analysis, design research, precedent study, surveys, zoning and planning studies;
• Experience with construction administration;
• Familiarity with coordination of work with other consultants, and the preparation of construction plans and details;
• High level of proficiency with digital and physical modelling, preparing materials for public consultation and client meetings, and design drawings including illustrative plans, sections and elevations, and character sketches and renderings;
• Excellent sense of spatial design and superior written, graphic, and oral communication skills
• Ability to be inquisitive, unafraid to ask questions, and work as a self-starting individual as part of a collaborative team.

Office Administrator

Hapa Collaborative is a dynamic landscape architecture firm, and we are looking for a highly organized individual who is up for the challenge of a multi-faceted admin/office manager role. The office is not public-facing and consists of approximately 20-25 staff. This role will include elements of general admin, supporting various office initiatives (social, holiday party and industry events), office management, social media marketing, and accounting. It's never the same day twice!

You’ll have experience in roles where you wear different hats daily. You will be self-motivated and have a proven track record of being proactive, taking initiative and not letting balls drop. You are comfortable working in an environment without a lot of structure (no micro-managing here!) and are confident in your ability to seek information should you need it and effectively execute.

You can expect a consistent schedule (overtime is rare) in a dynamic, diverse, and positive work environment.

You will have direct experience working in an office environment in addition to other experience. The role will consist of the following tasks in the following areas. First and foremost, it is an office admin role. Some level of experience or understanding in accounting and/or social media marketing is preferred.

The nature of this role requires you to work from our office in the Olympic Village/ Cambie area, which is close to the Canada Line and other Transit. Front Desk & Reception Duties
• Answering phones; arranging and receiving deliveries, and guests (low volume)

Facilities and General Operations
• Maintaining Office and Kitchen Supplies and ensuring a general order and cleanliness
• Liaising with vendors, cleaners, property managers, maintenance people, etc.
• Ensuring printer and plotter have supplies and managing any service requests

Office Administration
• Managing Admin calendar (birthdays, vacations, anniversaries, and other key dates)
• Organizing events, including staff socials, Lunch & Learns, team meetings, holiday parties, etc.
• Coordinate travel arrangements as required
• Schedule meetings and provide misc. Other Admin Support as required
• Assist with the coordination of proposals as required

HR Administration
• Support external HR Business Partner by posting and managing job postings
• Coordinating and executing employee onboarding and offboarding process. Includes liaising with IT to set up and troubleshoot software tools and accounts for new hires (Slack, Teams, Microsoft, etc)
• Tracking and Coordinating employee reviews
• Supporting with preparing, sending and filing HR employee paperwork as required

Finance
• Manage accounting inbox by recording client payments and vendor invoices for projects and office expenses.
• Reconcile monthly bank and credit card accounts.
• Emailing reports and client statements to project managers.
• Follow up on client and vendor inquiries.
• Monitor and manage employee timesheets and expenses.
• E-mail aging monthly reports to employees (banked time, vacation, and PTO).
• Support Government Grants and claims process.
• Assist the Financial Controller with various tasks and provide support as needed.

Marketing Tasks
• Head up our Marketing Committee (which meets every two weeks) to ensure consistent posting and sharing of our goings-on.
• Get Hapsters involved in helping with social media/marketing if that suits their interests.
• Discuss new ideas with the marketing team and assign them based on workload/interest.
• Schedule and oversee social media posts (including follow-ups with marketing crew or PMS) - IG & LI
• Assist with photos/captions for social media
• Manage and engage with other firms/people on Instagram / Facebook /LinkedIn

The salary for this role is $50,000 - $60,000 per year, depending on experience level.
