Marketing/Proposal Coordinator & Office Administrative Assistant

Hapa Collaborative is a landscape architecture and urban design practice established with placemaking, attentiveness and collaboration in mind. We see each project as an opportunity to partner, to dream big and to synthesize ideas wrought from many, often opposing, influences. Our goal with each commission is to evoke the poetry of the place and in doing so reveal something delightful but perhaps previously unseen. Most of all, Hapa Collaborative is a new voice for contemporary landscape design and a small, agile and fresh alternative to traditional landscape architecture practice. Our studio of eighteen people is a fast-paced daily collaboration between people of different backgrounds and a mix of skills and specializations. We love the fact that this mix is present in our design process and in the final built results.

We are looking to add a full-time Proposal & Marketing Coordinator with administrative experience to our team. The ideal candidate is well-rounded, personable, collaborative, and will support proposal development, marketing and engagement initiatives.

Candidates for this position should possess, at a minimum:Candidates for this position should possess, at a minimum:

  • Minimum 2 to 5 years of experience in a marketing and proposal coordination role for a small-medium sized office
  • Adept understanding of proposal procurement and process (RFIs, RFQs, RFPs)
  • A Bachelor’s degree in business, marketing, communications, business development or a related level of experience
  • Strong proficiency with web-based tools, Microsoft Office and familiarity with Adobe Creative Suite (InDesign, Acrobat, Photoshop, Illustrator)
  • Familiarity with graphic design principles and print and electronic production processes (preflight electronic submissions – or – binding, shipping, and proofreading print packages)
  • Intermediate knowledge of web content management systems, digital marketing strategy, scheduling and implementation
  • Ability to effectively communicate with and coordinate with diverse project teams of varying abilities and sizes
  • Demonstrated excellent editing, technical writing and verbal communication skills• Experience in landscape architecture and urban design is a plus• Self-drive and efficiency in a fast-paced, deadline-driven environment
  • Interest in creative thinking, market research and continuous improvement

The successful applicant will be responsible for:

  • Overseeing and collaborating with team members in proposal document procurement
  • Working closely with the principal and team project managers to ensure compliance with proposal requirements or statements of qualifications
  • Support web & brand designer to support strategy efforts of promoting the Hapa brand
  • Preparation and planning of marketing materials, including web and social media content
  • Ensure website, project profiles, team profiles and other press materials are up-to-date
  • Coordinate award and publication submissions
  • Client relationship development, community development and market research
  • General administrative support of day-to-day office operations including liaising with IT technician, suppliers and coordinating internal presentations.
